About the Travel Claim and Reimbursement Process

Below you’ll find the latest information about travel claim submissions and the reimbursement process for delegates who attended the NITOTEM Gathering.

This page will be updated if any details change. We will also continue to send key updates by email as the process moves forward. Please check back or contact us if you need support.

PLEASE NOTE: If you are a NAN First Nations/Community Delegate, the NAN Early Years Department will book your travel and accommodations, and the following will not apply as the drive-only option is not available for this event. Representatives of the NAN community must either fly directly to the event or drive to the nearest airport to their community and then take a flight.

1. If You Need to Submit Your Travel Claims/Receipts

  • The final deadline to submit your travel receipts is 4:00 PM (ET) on May 20, 2025
  • All receipts must be submitted using your personal submission link, sent to you by email
  • Upload your receipts as PDF or JPEG files
  • Use this naming format for your files:
    LAST NAME FIRST INITIAL NITOTEM (Air, Taxi, etc.) Receipt
    Example: SMITH J NITOTEM Taxi Receipt.pdf

Please note that no travel claims will be accepted after May 20, and incomplete submissions may delay processing.

If you cannot locate your personal link or need to submit for your entire group in one file, please contact us directly (see contact info below).

2) If You Have Already Submitted Your Travel Claims/Receipts

Reimbursement Timeline

  • May 21st–22nd, 2025: Ingaged will review and organize all receipts by community or organization
  • By May 23rd, 2025: Receipt summaries and packages will be sent to each community or organization’s designated contact for approval
  • By June 5th, 2025: Communities and organizations will review, confirm, and return approved summaries to Ingaged (10 business days)
  • Mid June 2025: Approved packages will be forwarded to the Nishnawbe Aski Nation Early Years Department team for final review and disbursement. We will update you once we have further details.

We’ll share a follow-up email before the May 20th submission deadline with an anticipated reimbursement timeline, based on when each community's package is received and processed. While we can’t confirm an exact date, we’re committed to keeping everyone informed every step of the way.

Reimbursements will be issued to each organization’s finance contact, not directly to individuals unless special arrangements were made in advance.

Types of Reimbursement

Local Travel Reimbursement – If you arrange alternate transportation from the Airport to the Hotel and from the Hotel to the Airport, a maximum of $50 per delegate each way will be reimbursed upon receipt submission.

Meals and Accommodations during the gathering will be provided and thus are not eligible for reimbursement.
